Privacy Policy
Last updated: September 1, 2026
This Privacy Policy explains how FirstCallOps (“we”, “us”, “our”) collects, uses, and protects personal information when you visit firstcallops.ai, request a demo, or use our voice intake services. We are based in the United States and serve customers in the United States.
1. Who we are
FirstCallOps is the business responsible for personal information collected through our marketing site, demo requests, and sales inquiries.
When we answer calls on behalf of a customer, we act as that customer’s service provider. We handle callers’ information only on that customer’s instructions, and the customer decides how long it is kept and what happens to it.

2. Information we collect
Information you provide
- Contact details (name, email, phone number, company, role).
- Demo requests, support inquiries, and communications with us.
- Calendar preferences and scheduling details for meetings.
Information collected automatically
- Device and usage data (IP address, browser type, pages viewed, timestamps).
- Cookies or similar technologies used for analytics and performance.
Service data (handled for our customers)
- Call recordings, transcripts, and the intake details captured during a call.
- Calendar availability, appointment metadata, and CRM notes.
3. How we use information
- Provide, operate, and improve FirstCallOps services.
- Respond to demo requests, support questions, and sales inquiries.
- Analyze usage to maintain performance and security.
- Comply with legal obligations and prevent fraud or abuse.
4. Call recording and AI disclosure
Every call we answer opens with an announcement that tells the caller two things: that the call is being recorded, and that they are speaking with an AI receptionist rather than a person. A caller who continues past that announcement has consented to the recording, and a caller who would rather not be recorded can end the call.
State recording laws differ. Some require only one party to a call to consent, while others require everyone on it to consent. Because inbound callers can be anywhere, we do not vary this by state: the announcement plays on every call. Several states separately require disclosure when someone is dealing with an automated system, which the same announcement covers.
Customers can adapt the wording of the greeting to suit their business, but the recording and AI disclosures are always included. Customers remain responsible for any further notice their own profession or industry requires. We process recordings only on the customer’s instructions.
We do not create voiceprints or any other biometric identifier from call recordings, and we do not use recordings to identify anyone by the sound of their voice. Recordings and transcripts are used to capture what was said and route the call, not to determine who is speaking.
If you were a caller on a recorded call and want a copy of the recording or want it deleted, contact the business you called. If you are not sure who to reach, email us and we will help identify the right contact.
5. Sharing and service providers
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
We share personal information with vendors who provide hosting, telephony, communications, analytics, payment processing, or customer support infrastructure. We require these vendors to apply appropriate safeguards and to process information only on our instructions. We may also disclose information when required by law, or to protect our rights, our customers, or the safety of others.
We process and store information in the United States.
6. Data retention
We retain information only as long as necessary to provide our services, meet legal obligations, resolve disputes, and enforce agreements. Retention periods vary by the type of information and by what our customer contracts require. Call recordings and transcripts handled for a customer are retained according to that customer’s instructions.
7. Your privacy rights
Depending on the state you live in, you may have the right to:
- Know what personal information we collect, use, and disclose about you.
- Access a copy of that information in a portable format.
- Correct information that is inaccurate.
- Delete information we hold about you.
- Opt out of targeted advertising, the sale of personal information, or profiling that produces legal effects.
- Not receive discriminatory treatment for exercising any of these rights.
- Appeal a decision we make about your request, where your state provides for an appeal.
These rights come from state privacy laws, including the California Consumer Privacy Act as amended by the CPRA, and comparable laws in states such as Virginia, Colorado, Connecticut, Texas, Oregon, and Montana. Which rights apply to you depends on where you live.
To make a request, email hello@firstcallops.ai. We will take reasonable steps to verify your identity before responding, and we will respond within the period your state law requires. An authorized agent may submit a request on your behalf.
If your information was collected while we were acting as a service provider for one of our customers, send your request to that business. We will assist them in responding to it.
8. Security
We use administrative, technical, and physical safeguards to protect personal information. No method of transmission or storage is completely secure, but we continue to improve our controls to reduce risk.
9. Children’s privacy
Our services are not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us information, email us and we will delete it.
10. Changes to this policy
We may update this policy from time to time. We will post changes on this page and update the “Last updated” date above.
